SPORTS AND SHOW MANAGER

JOB DESCRIPTION

 GENERAL

The work is part-time and entails the organisation and running of the Grasmere Sports and Show, the premier sports event in the Lake District. It is envisaged that the successful applicant will take over responsibility for the trade stands for the year running up to the 2018 Sports and generally understudy the present Manager. He or she will take over as Sports and Show Manager after the 2018 Sports. The Sports and Show is held on the Sunday of the August Bank Holiday.

RESPONSIBLE TO

The Board of the Grasmere Sports Committee and, on a day-to-day basis, the Chairman.

RESPONSIBLE FOR

The Sports Contractor – for the setting up and laying out of the Sports.

All stewards and officials on Sports Day.

MAIN TASKS

The work will include but not be limited to:

  1. Planning and organisation of Sports Day
  2. Attend and be the focal point for all activities both routine and emergency on Sports Day
  3. Preparation and layout of the ground (in conjunction with the Sports Contractor)
  4. Ordering of marquees; toilets; tickets, badges and passes; prizes and trophies; catering, communications systems.
  5. Recruiting and organising of judges, officials and stewards; announcer; photographer; first aid and mountain rescue; police and security.
  6. Obtaining sponsorship and liaising with sponsors
  7. Liaising with the various sports and other bodies that participate in the show.
  8. Booking the various “acts” that take place at the Sports and Show.
  9. Arranging the programme of events, designing and printing the programme.
  10. Advertising and taking bookings for the trade stands (possibly delegated to a Trade Stands Manager).
  11. Publicity and advertising
  12. Health and Safety including event management plan, risk assessments, road safety management team
  13. Communicating with the Life Members
  14. Providing regular information to enable the website to be updated
  15. Dealing with enquiries from phone, email and letter
  16. Liaising with the Treasurer and maintaining details of income and expenditure
  17. Attending and reporting to Board and Executive Committee meetings.

 

HOURS OF WORK

The work is part-time and builds to a peak on Sports Day. There are no fixed hours of work. The time spent each year will be that necessary to organise the Sports and Show. For guidance the average time required is thought to be in the region of 20-30 hours per month.

 

SALARY

The person appointed will be paid a fee which will depend on whether they are employed by the Sports Committee or wish (and qualify) to be self-employed.

The successful candidate would be expected to have the following skills, experience and qualities:

 

ESSENTIAL

Excellent organisational and administrative skills

The ability and confidence to work alone and take decisions.

Experience of working with others

Good inter-personal skills –a good listener and communicator

Computer literate (Excel, Word)

Ability to control costs and report on finance

Enthusiasm

Full UK Driving Licence

 

DESIRABLE

An interest in traditional Lakeland Sports

An ability to delegate

An eye for detail
